To re-enrol participants, you must prepare the course and ensure that you have created sessions for it. If you have prepared these, you can continue to the next steps. Otherwise, you can follow these steps.
1. If needed, Duplicate a course OR Create a new course from Scratch
2. On the course modal, click Create Sessions
3. A modal will appear. Click Confirm Run. You will then be redirected to a schedule builder page.
4. Fill in the required information:
Set your Session Capacity, this is the total number of people that can enrol into any one session
Set your Duration, this is how long each session will run for, it is important to help populate room calendars accurately
Choose the Facilitator that would be the most regular person running the sessions (This can be changed at a session level if needed)
Choose the delivery method
Choose "Set as Available Online" if you'd like to offer each session for independent enrolment
Click Next.
5. Date Interval
Specify the start date of the course (1/1/2025)
The system will automatically populate the start date of the term
Specify the end date of the course (31/3/2025)
The system will automatically populate the end date of the term
Choose the starting time for the course sessions (09:00am)
Select the days of the week the course sessions will run. (Mon, Wed, Fri)
The system will show you how many sessions will be created within this date interval, in this example there are 39
Click + Add x Sessions
6. The system will show you a list of all the sessions that will be created for this course.
It will also flag conflicts where the chosen room has a booking at the same time as the session for this class:
You may edit any sessions that need to be modified, eg adjusted starting time, or changing rooms to accommodate other bookings. This can be done using the pencil icon
In the example, I've used the pencil icon to change the room that the session will be booked for, this way I avoid the scheduling conflict for meeting room 1.
You may also remove any sessions entirely using the "x" icon. Use this in situations where the system wants to create a session when the house is closed, eg on a public Holiday
In the example below, I'd use the "x" icon to remove 1st of January, as it's New Years Day.
Once you are happy with the configuration of the sessions, click Create x Sessions
The system will create all of the sessions for this course automatically
Accidental sessions that are created by mistake will need to be deleted one by one, so please be sure you've made all the changes you need before clicking on the Create Sessions button.
