We can control whether a user has access to the system by setting their status, either "Active" or "Inactive".
Active users are able to log in with their email and password, while inactive users will not.
Here's how you can easily manage this operation:
When we want to disable a user, follow these steps:
1. Click "Settings" and proceed to "System Settings".
2. Choose the "Manage Users" option.
3. You'll see a list of all active users. Choose the user you want to deactivate.
4. Click on the Edit button.
5. Change the user's status to "Inactive".
6. Click "Save" to confirm the change. The user will not appear on the active user list again.
NOTE: Deactivated users to not consume licenses
If you want to reactivate a previously inactive user, follow these simple steps:
1. Switch the user list view to display "Inactive" users. Then, select the user you want to reactivate.
2. Click on the "Edit" button
3. Change the user's status to "Active".
4. Click "Save" to confirm the change.
What about deleting users?
Yes, this also possible, but has advantages and disadvantages. Firstly, let's review how to do it:
1. From the user pop-up, select the three dot (...) menu
2 .Click Delete User
3. Confirm to go ahead
This will remove the user from select fields, like "Assigned To Staff" within Enquiries, your quick filters in table Views as well as a sender in the email compose window etc. This helps to limit the number of options users see, and helps keep the system tidy when a lot of users have been deactivated over time.
When a user is deleted from the system, their name is replaced with a generic number wherever it was used. For example, if "Sally Jones" was previously a user, and we delete her, then when we look at a historical list of Tasks, her name would not be present as an assignee, but replaced with a number like "23499032". Likewise we cannot then filter for her name when looking at a list of Tasks. This can make it hard to look back at what has happened.
Which is the correct choice? Well, that is up to you. As a middle ground may choose to export some of your data before deletion, so you have that historical record, or reassign past entries to another user before going ahead. Likewise, you can simply leave the user permanently deactivated. The choice is yours.
